AI literacy training record template

What this template is

A spreadsheet that logs who received AI literacy training, when, what was covered, and when a refresher is due. It's the single most important document for Article 4 compliance because it's what an auditor would ask to see first.

Why you need it

Article 4 of the EU AI Act requires providers and deployers to ensure a sufficient level of AI literacy among staff. The Commission's FAQ confirms that internal records of trainings are sufficient documentation — no certificate, no accreditation, no LMS.

But you do need to keep records. If a market surveillance authority asks about your AI literacy measures, you need to show:

  1. Who was trained and when
  2. What was covered
  3. That training is role-based
  4. That you plan to keep it current

What the template includes

The free training record log includes columns for:

  • Name — the employee or contractor
  • Role — their job function
  • Training module — general, HR-specific, marketing-specific, etc.
  • Date completed — when the training took place
  • Format — live session, recorded video, self-paced
  • Trainer or source — who delivered it or what materials were used
  • Refresher due date — when the next training is due

How to use it

  1. Download the template (Google Sheets or Excel)
  2. Add a row each time someone completes a training module
  3. Sort by refresher due date to see who needs updating
  4. Keep it on a shared drive accessible to the person responsible for compliance
